Who we are

Pitch2Club is a London football network connecting players and clubs. Pitch2Club is the controller of the personal information it collects for this network. This policy explains how we use information provided through player registration, club enquiries and related communications, under the UK GDPR and the Data Protection Act 2018.

Information we collect

We collect the information you choose to provide in our registration form or messages. This may include your name, contact details, age, location, playing position, football experience, availability, the level of club you are seeking, and links to player profiles or footage. Club enquiries may include a contact name, club details and recruitment requirements.

If you participate in a filmed showcase match, footage and photographs may identify you. We will explain the recording and intended uses before participation. Please do not submit identity documents, medical information or other sensitive personal information unless we specifically request it and explain why it is needed.

Why we use your information

  • To manage registrations and respond to player and club enquiries.
  • To contact you about relevant football opportunities, showcase matches and clubs looking for players.
  • To prepare player profiles and help connect players with relevant clubs.
  • To coordinate participation, footage and network communications.
  • To protect the network, handle complaints and meet legal obligations.

Registration does not guarantee a trial, contract or club placement. Any trial or playing opportunity is ultimately decided by the relevant club.

Our legal bases

We rely on legitimate interests to administer the network, answer enquiries and help players and clubs make relevant connections, where those interests do not override your rights. Where processing is necessary to provide a service you have agreed to, we may rely on performance of that agreement. We may also process information to comply with legal obligations.

Where consent is required, including for optional marketing communications or particular uses of images or footage, we will ask separately. You can withdraw consent by emailing us; this does not affect processing that was lawful before withdrawal. Registering is not blanket consent to public publication of your information.

Sharing with clubs and others

As part of the player network, we may share relevant football profile information and footage with clubs seeking players. We limit what we share to what is relevant to that connection and will explain any additional use of your information. We do not sell your personal information.

Clubs receiving your information may act as separate data controllers and have their own privacy policies. We may also share information with service providers supporting forms, email, hosting or communications, or where required by law.

Google Forms, WhatsApp and Instagram

Player registration uses an embedded Google Form. Google processes information according to its own terms and Privacy Policy. Loading the embedded form may also allow Google to receive technical information, such as your IP address, and use cookies or similar technologies.

After registration, you may be invited to join our WhatsApp community. Joining is optional. Depending on the group or community settings, other members may be able to see your phone number, profile information or messages. Please check those settings before joining. WhatsApp’s Privacy Policy applies to its service.

Following our Instagram link takes you to a separate service governed by Instagram’s privacy terms. Third-party providers may process information outside the UK. Where we arrange an international transfer, we must ensure an appropriate UK data protection safeguard applies, such as an adequacy decision or approved contractual protections.

Retention and security

We keep information only for as long as reasonably needed for the purposes described here, taking account of your involvement in the network, ongoing enquiries and any legal requirements. We review information and delete or anonymise it when it is no longer needed. You can ask us to remove your profile or stop contacting you.

We use reasonable organisational and technical measures to protect information and restrict access to people who need it. No online service can guarantee complete security. Where information has already been shared with a club, that club is responsible for its own copies; we can help identify the relevant contact for a privacy request.

Your rights

Depending on the circumstances, you can request access to your personal information, correction, deletion, restriction of processing or a portable copy. You can object to processing based on legitimate interests and object to direct marketing at any time. You can also withdraw consent where we rely on it.

Email pitch2club@gmail.com to make a request. We may need to confirm your identity. We normally respond within one month, subject to the extensions and exceptions allowed by law.

If you are unhappy with how we handle your information, please contact us. You also have the right to complain to the UK Information Commissioner’s Office at ico.org.uk/make-a-complaint.

Changes to this policy

We may update this policy as the network develops. The latest version will appear on this page with an updated date. We will bring material changes to your attention where appropriate.
